Apostilles

Having documents Apostilled is an official certification that verifies the authenticity of a diploma or transcript for use in another country that is part of the Hague Apostille Convention. It confirms that the document has been issued by a recognized authority and can be legally accepted abroad. The Office of the Registrar can assist you in having your transcript and diploma Apostilled.  You should contact the foreign government usually through their embassy or consulate, prior to starting this process to ensure that they will be accepted.

Diploma Authentication

If you require document authentication of your diploma, please send your original diploma to the the Office of the Registrar at the address below.  A copy of the diploma cannot be accepted.
If the original diploma as been lost or damaged, you may request a replacement diploma by completing the Undergraduate Replacement Diploma form. Please send the completed form along with a check for $25 payable to Western Connecticut State University to the Office of the Registrar at the address below.  Please note on the Replacement Diploma form that you need the diploma Apostilled.

Once the original diploma has been received, the registrar’s office will make arrangements to have a copy of your diploma notarized by a Connecticut Notary Public and will then forward both the original diploma and the notarized copy of the diploma to you.  Please allow 1-2 weeks for processing and if you are requesting a replacement diploma, allow an additional 1-2 weeks

You will then submit the notarized copy of the diploma, along with the required forms and payment, directly to the CT Secretary of the State.  Contact the CT Secretary of the State’s office for information about their timeline once they have received your materials.  When the Secretary of the State has completed the document authentication process, they will return all of the material directly to you.

Transcript Authentication

If you require document authentication of your transcript, you will need to order an official transcript and note that it needs to be authenticated. Please click here for information on ordering an official transcript and select the option to pick up the transcript.  This will ensure it prints in our office.  You will also need to notify the Office of the Registrar by email to requestregistrar@wcsu.edu that you need the transcript Apostilled.  The registrar’s office will make arrangements to have the official transcript notarized by a Connecticut Notary Public and will then forward the notarized transcript to you. Please allow 1-2 weeks for processing once the registrar’s office receives the transcript and Apostille request.

Digital Diplomas in Lieu of Document Authentication

Graduates awarded May, 2025 or later were issued a certified electronic diploma in addition to a paper diploma. In some instances, the certified electronic diploma can be presented in lieu of an Apostilled diploma. Please contact the foreign government usually through their embassy or consulate to confirm that they can accept it.
