Your access to a world of WCSU services

The WESTCONNect Card is literally your access to a world of services here at the university including but not limited to physical door access, meal plans, the debit card program (CONNect Cash), CONNect Print credits which allow on campus printing, entry to campus fitness facilities, campus library use, access to special events, and off campus community spending programs.

———    YOUR ACCESS

  • Resident students have access to residence halls with activation and expiration dates as set forth by the Housing and Residence Life Office schedules of building operations. For more information on residence halls access: Residence Halls
  • Resident students have access to the exterior doors of their buildings as well as their rooms and bathrooms (as applicable) based on residence hall assignments. That assignment happens automatically, and requires no additional action on the part of the student.
  • Meal plans are assigned automatically based on the residence hall assignments.
  • Access to printing, 24-hour computer labs, and fitness facilities are also assigned to the cards.
  • Resident students may choose to put money onto their cards (CONNect Cash) that is separate from a meal plan, and may be used for spending on and off campus for things like laundry, vending, bookstore, box office, paying fees and fines, food service and other purchases.

Resident students having problems accessing their residence hall, room or bathroom must first report the problem to their Resident Director.
If you have been told that you have access to an area outside of the resident halls, and the access is not working, you may contact the WESTCONNect Office for assistance. The staff in the office will want to know the specific area you tried to access and the date and time of the attempt.

———    ACCESS REQUEST

FACULTY & STAFF

Each department is responsible for maintaining records of their access requests. In situations where the specific area requested is outside of the department’s area of responsibility, then authorization from the appropriate managing department will be requested.
All keys are inventoried through a computerized system maintained by the university locksmiths. Each key issued is assigned to an individual who is responsible for its use/misuse. Please do not loan your keys to others, or provide unauthorized access to restricted areas by unlocking doors for others. Please do not “swap” keys with others as you are responsible for the keys issued to you through the key inventory system. If there is a need to reassign keys please contact the WESTCONNect Office staff.
All individuals granted card or key access agree to the WESTCONNect Access Receipt and Responsibility Statement.

 

STUDENTS

Any access to secured areas requires and authorized request be made by a university department. The WESTCONNect Office requires an Access Request Form to be submitted by an authorized university department before any access can be granted or programmed.
Students may not request access directly.
For example, if you belong to a club or other student organization with an office in the Student Center, the department that manages that building makes the request for you.
If you need access to a secured lab for your class work, the academic department secretary will request the access.
You will be notified that you have been granted access by the department that requested it for you.
Unless otherwise indicated, student access is terminated at the end of the semester.

All access requests should be submitted on the official Access Request form using the Access Request App. Old forms, emails requests, or spreadsheets will not be accepted. Only forms with authorization from the appropriate Department Chairs, Division Heads, or Deans will be accepted.

For a copy of the Access Request Excel form please click here. The form will be downloaded to your computer. This form must be uploaded to the Access Request App, and not emailed directly to the office. Emailed submissions will not be processed.

All students, university assistants, adjunct faculty, part time employees, and contractors are granted access for the current semester (Fall, Winter Intersession, Spring, and Summer) or per their contract end date. At the end of the semester when the access was requested, it will expire. Full time staff and faculty do not have expiration dates on their clearance assignments unless specified.

———    REPORT A PROBLEM

* Resident Students must report a problem to their Resident Director.

Are you having problems with any locks, card access locations, alarms, or keyboxes?

To report a problem please submit your request through the University’s computerized, Internet-based SCHOOLDUDE work order system.

  1. Go to www.schooldude.com and select client login.
  2. Sign on. If you do not have an ID in the SCHOOLDUDE system, please contact your department secretary, resident director, or William McDevitt in the Maintenance Trades area.
  3. Select the product we use from the drop down list (Maintenance Direct).
  4. Use the web interface to log your request.

You may mark a request as an emergency; however, we ask you to contact the WESTCONNect Office at 837-9311 during regular hours or University Police at 837-9300 for emergency services. Lost keys and/or cards should be reported immediately to the WESTCONNect Card Office during normal business hours. After hours, lost keys and cards should be reported to the University Police Department. Lost keys may result in an area being re-keyed. Costs for re-keying an area may be charged back to the department.

 

———    POLICIES

Access and Security Policies

The university may revoke access and/or seek restitution for damages for any tampering or improper use of the security systems and door hardware. Examples of tampering or improper use may include, but are not limited to:

  • Do not prop open doors to secured areas
  • Do not use tape or put other objects into the strike plate to prevent a door from securing
  • Do not disconnect any security wiring and associated devices
  • Do not use anyone else’s card or keys to enter an area
  • Do not open door with force
  • Do not cover, move, or impede the view of security cameras
  • Do not drive through parking gates
  • Do not remove, replace, or adjust existing door hardware
  • Do not leave areas unsecured. Lock each classroom between class meetings, or use by another professor or individual

The university utilizes card access in a variety of areas on campus. Cards are issued to and intended to be used by, the individuals authorized to use them. You may not give your card to another entity in order to grant them access to an area. Also, do not use your own card to provide access to another individual.

Do not attempt to duplicate your card or otherwise tamper with the physical card or its associated accounts.

Unless otherwise indicated, all student and part time/adjunct access is terminated at the end of the semester. New requests for access must be submitted each semester.

Full time faculty and staff retain given access unless otherwise indicated.

Department heads are responsible to ensure that when an employee, including student worker, turnover occurs within their respective units, that they retrieve all means of access from those individuals who are no longer required to have access to the facility.

All keys must be returned to the WESTCONNect Card Office. All returned keys will be removed from the individual’s key inventory records. A receipt for proof of return of keys will be provided at the time of return.

The university utilizes a patented, high-security keying system that prevents its keys from being duplicated by outside sources. All keys for the university must be cut by the university locksmiths. All keys are inventoried and maintained by the university locksmiths. Miscellaneous keys that are not inventoried include, but are not limited to; file cabinets, desk locks, tool boxes, panel keys, lockers, freezers, and storage cabinets.

Keys are not to leave the buildings in which they are being utilized. Keys must stay in the possession of the individual at all times, and are never to be left on carts, shelves, or other unattended areas.

The key/code is the property of Western Connecticut State University and is on loan to me. Use of this key/code is intended solely for my personal use and safeguarding and will not be given to anyone or duplicated. In the event this key or code is lost, stolen, misplaced or compromised in any way, I will notify the WESTCONNect Card Office.

I understand that should I lose this key, I will have to pay the appropriate replacement charges as determined by the WESTCONNect Card Office according to the fair market value of replacement.

It is my full responsibility to return this property to the WESTCONNect Card Office in the event that I leave WCSU employment and should I fail to do so, the university may take the appropriate legal action to recover its cost.

⏤ ACCESS TO SPECIAL EVENTS & OFF CAMPUS COMMUNITY SPENDING PROGRAMSActivities and Events

The WESTCONNect Card is also used for various activity and event check-ins. For example, cards have been used at Student Employment Job Fairs, Academic Advisement Offices, and more.

Also, Box Office event payments are possible using CONNect Cash.

⏤ CONNECT CASHCONNect Cash is a discretionary spending program that allows any person with a valid university ID to deposit money on their card for use at a variety of locations.

CONNect Cash does not expire, and remains valid as long as you are an enrolled student, or active employee. The balance rolls semester to semester.

Remember that you can manage your card account online via the WESTCONNect WebCard Center. to see your balances and transactions history or mark your card as lost.

⏤ CONNECT PRINTCONNect Print credits are automatically loaded on registered students’ WESTCONNect Cards and can be used at designated locations.

CONNect Print Credits ARE NOT the same as CONNect Cash.

You cannot use CONNect Print credits anywhere except CONNect Print locations and your CONNect Cash is currently not accepted at CONNect Print locations.

If you experience any problems while trying to print, please visit one of the staffed computer labs and ask the lab assistant for help.

⏤ Fitness FacilitiesFitness Rooms

Students, faculty, and staff who wish to use the fitness facilities on campus must present their WESTCONNect Card to the staff to validate their status as a current member of the campus community.

⏤ HARD KEY ISSUANCE & CARD ACCESSThe WESTCONNect Card Office coordinates the physical security of the university’s facilities.

This includes locksets and physical keys, stand-alone electronic locksets, on-line card access control systems and security camera systems.

The WESTCONNect team strives to make facility security as convenient as possible without compromising security. Keys and access to restricted areas are all provided by the WESTCONNect Office upon the approval of Deans, department chairs, directors or club advisors.

⏤ KEY BOX MANAGEMENTWestern Connecticut State University utilizes the Traka™ Key Cabinet system.

Key cabinets are deployed in each building and allow the university to inventory and manage high security keys such as master and sub-master level keys.

Keys are not to leave the buildings in which they are being utilized. Keys must stay in the possession of the authorized individual at all times, and are never to be left on carts, shelves, or other unattended areas.

⏤ LAUNDRYResident students may use the laundry facilities on campus, and they may now pay using touch less payment options.

Using the web based interface students can manage laundry with the ability to see the status of machines, place a hold on machines, and set up notification preferences related to laundry.

⏤ MEAL PLANYour WESTCONNect Card also serves as your meal plan card, if you have purchased a plan.

Meal plans are a products that are pre-purchased in full, and all meal plans have expiration dates. Meal plans are typically a combination of meals and flex points. Flex points are intended to be used for what is considered “retail” purchases.

Please note that meal plans funds, both meal and flex points, may only be used at on-campus food service locations.

Resident students are required to have a meal plan, and the plans are assigned based on residence hall placement. Changes to meal plans for resident students should be requested trough the Housing and Residence Life Office.

Commuter students may choose to have a meal plan. Commuter students who wish to purchase a meal plan should do so via the Cashiers Office.

Faculty and staff may choose to have a meal plan and they may purchase the plans at the food service payment register locations.

Detailed meal plan information is available at the Food Services website or at the Food Services Office located in the midtown Student Center by the Student Restaurant.

The WCSU identification card is called the WESTCONNect Card. The card offers you access to spending funds and purchases (meal plan money and discretionary funds), unlocking secured areas, printing, attending activities and events, and more. ⏤ PHYSICAL DOOR ACCESSThe WESTCONNect Card is literally your access to a world of services here at the university

Including but not limited to physical door access, meal plans, the debit card program (CONNect Cash), ConnectPrint credits which allow on campus printing, entry to campus fitness facilities, campus library use, access to special events, and off campus community spending programs.

⏤ RESIDENCE HALLS ACCESSThe university’s residence halls are secured at all times.

 All residents’ cards are programmed for access to their assigned buildings. A WESTCONNect Card must be presented in order to enter the building, at no time should anyone hold open a door to allow another person to enter the building without using a card. If you are visiting someone in the residence hall, please call the person whom you are visiting to coordinate entry and visitor check in at the main desk.

Access to individual residence rooms and bathrooms is managed by the Residence Life staff. Lost cards should be reported immediately using the WESTCONNect WebCard Center. Instructions may be found here.

Temporary cards are available from the Resident Directors until a replacement card may be obtained at the WESTCONNect Card Office during the next business day. Temporary cards must be returned to the Resident Director, or a replacement fee will be assessed to the student.

If there is a problem with the security system, the Resident Director may issue a physical key to the student. Keys must be returned to the Resident Director, or a replacement fee will be assessed to the student.

Security Tips

Do not hold doors open to let others into the buildings. Each person should use their own card to enter

Do not prop open doors or tamper with doors to keep them unlocked

Have all visitors check in with the front desk, and follow all residence hall policies and procedures

Do not give your card to others to gain access to your building or room

Keep your room doors closed and secured, do not walk away and leave your room unsecured

Problems with Access or Security?

Start by reporting all problems to the Resident Director. They are able to troubleshoot and resolve most access problems. If they are not able to resolve the issue, they will report the problem using the work order system.

⏤ SECURITY CAMERA SYSTEMSSecurity cameras are in use in various public areas on both campuses.

Typical surveillance areas include parking garages, lobbies of residence halls, 24-hour computer labs, elevators, and exteriors of buildings.

All cameras are recording and may be monitored.

Retrieval of video may be conducted by the University Police Department as it relates to criminal investigations. Human Resources and Judicial Affairs may request video for case investigations as well.

All other requests for video would be processed via a Freedom of Information request made to the university.

⏤ WESTCONNECT CARDYour WESTCONNect Card is your school ID and gives you access to meal plans and discretionary funds, the ability to unlock secured areas, print, attend activities and events and more.

You can manage your card through the WESTCONNect WebCard Center. See your balances and transaction history, report your card as lost, activate your most recently issued card, set your door security PIN and more. Students may deposit money into their accounts and/or set up authorized payers for others to deposit money into their CONNect Cash (discretionary funds) accounts.
